At ExecEffects LLC, we understand that circumstances change — whether it’s business needs, personal matters, or shifting priorities, you may find that you no longer require our virtual administrative services. While we’re always sorry to see a client leave, we respect your decision and aim to make the process as smooth as possible.

Step 1: Client Initiates Cancellation

Clients must notify ExecEffects of their intent to cancel services by submitting a written notice via:

  • Email: info@execeffects.com
  • Subject line: Service Cancellation Request – [Client Name]
  • Optional: Include reason for cancellation (e.g., to improve our services)

🔹 Step 2: Acknowledgment by ExecEffects

ExecEffects will respond to the cancellation request within 1–2 business days to confirm:

  • Receipt of the cancellation notice
  • The effective date of cancellation
  • Any final outstanding tasks, hours used, or billing notes

🔹 Step 3: Final Review & Outstanding Charges

ExecEffects will:

  • Confirm any remaining hours in the client’s monthly package
  • Deduct hours for any work already started or completed
  • Apply cancellation fees if applicable (e.g., $25 for late task cancellation)
  • Send a final invoice or refund summary, if relevant

Example:

  • Task cancelled after 3 hours → $25 cancellation fee
  • Task already in progress → Time is deducted, not refunded
  • Task not started & cancelled within 3 hours → No fee

🔹 Step 4: Access Revoked & Offboarding

Once cancellation is finalized:

  • All access to shared tools/platforms will be removed
  • All files, passwords, and client assets will be returned or deleted (as per ExecEffects LLC data policy)
  • A short client offboarding email will be sent with:
    • Confirmation of service end date
    • Receipt for any final payment/refund
    • Optional: link to feedback survey

🔹 Step 5: Service Termination

Services officially end on the agreed cancellation date.

  • No further tasks will be accepted beyond that date
  • Client’s monthly package (if applicable) will not auto-renew
  • Account marked as inactive in your system

🚫 Same-Day or Immediate Cancellations?

If you allow emergency or immediate cancellations (e.g., in case of illness or other hardship), specify that:

  • They must be approved on a case-by-case basis
  • You may waive cancellation fees at your discretion

We are committed to maintaining clear and transparent communication with all clients. This cancellation policy outlines your rights and our procedures regarding service cancellations:

Task Cancellations

  • Tasks may be cancelled within three (3) hours of allocation without incurring a cancellation fee.
  • Cancellations made after the 3-hour window may be subject to a $25 cancellation fee.

Work Already Started or Completed

  • Tasks that have already begun or been completed are non-refundable and will be deducted from the hours included in your current monthly package.

Cancellation Fee Waivers

ExecEffects reserves the right to waive the cancellation fee at our sole discretion, particularly in cases of extenuating circumstances, such as:

  • Medical emergencies
  • Accidents
  • Natural disasters
  • Other unforeseen events (“Acts of God”)

Service Quality Disputes

If a task is not completed to the client’s reasonable satisfaction, ExecEffects may, at its discretion, offer a refund of up to 50% of the time billed for that task only. The refunded amount will not exceed the full value of the time used for that specific task.


Policy Violations and termination of services

We reserve the right to decline renewal of monthly service packages for clients or terminate services with any client at any time for:

  • ExecEffects LLC maintains a zero-tolerance policy for any threatening, hateful, abusive, discriminatory, or otherwise harassing behavior directed toward its personnel. Such conduct will not be tolerated and may result in the immediate suspension or termination of services, with or without notice, and without refund.
  • Repeated policy violations
  • Delayed or non-payment of services or invoices
  • Threatening, hateful, abusive or otherwise harassing behaviors or interactions towards or with any personnel of ExecEffects LLC

Refund Requests & Disputes

If you believe you were billed in error or wish to request a refund for unsatisfactory service, you must submit a written request within 7 business days of the task’s completion. Requests submitted after this window may not be eligible for review.

By signing our service agreement and continuing to use our services, you agree to abide by the terms of this Cancellation Policy and any related policies. ExecEffects LLC reserves the right to update or modify this policy at any time, with notice provided via email or on our website.

Effective Date: October 18, 2025
Governing Law: This policy is governed by the laws of the State of New York.

Terms and definitions:

Definition of a “Task”: A task is defined as any request, assignment, or work item submitted by the client that requires the time, skill, or labor of ExecEffects LLC personnel, regardless of duration.

Task Acceptance and Start Time: All tasks are officially accepted once acknowledged in writing by an ExecEffects representative. Turnaround time begins only after task confirmation.

Business Hours: Our standard operating hours are Monday–Friday, 6:00 PM to 9:00 PM (EST), excluding U.S. federal holidays. Tasks submitted or requested outside business hours may not be reviewed until the next business day.

Policy Updates: ExecEffects LLC reserves the right to update or amend this policy at any time. Clients will be notified of material changes via email or through our website within 30 business days of an official policy change. Continued use of services constitutes acceptance of any changes. modification or alterations to company policies and procedures.

Force Majeure: ExecEffects LLC shall not be held liable for any failure or delay in service due to circumstances beyond our reasonable control, including but not limited to natural disasters, power outages, pandemics, illness, war, government restrictions, or internet/network failures.

Chargebacks: Clients agree to contact ExecEffects to resolve any billing concerns before initiating a chargeback. Client must allow the Company to provide reasonable attempts to resolve any billing disputes. Unauthorized chargebacks may result in suspension of service and additional administrative fees.

Time Tracking:
All work is tracked using internal time management tools. Clients may request a summary of time usage upon request. Time is rounded to the nearest 15-minute increment.

Electronic Acceptance: By submitting a service request or making payment, the client agrees to be bound by the terms outlined in this Cancellation Policy and our Terms of Service.

Governing Law:
This policy and any disputes related to our services will be governed by the laws of the State of New York. Any legal action must be filed in a court of competent jurisdiction within New York County, NY.
